How to assign an action item to more than one assignee

Documenting action items in real-time allows hosts and participants to have a clear record of the next steps that were discussed during the meeting. Sometimes you might need to assign an action item to more than just one person.

There are two main use cases:

Case 1: An action item needs to be done by everyone individually. Example: Submit completed for to HR. There are multiple people who are required to complete this action item independently.

Case 2: An action item that can be completed by more than one person. Example: Upload new logos to marketing website. There are multiple people who can complete this action item, but once it has been completed once - it's done. Not everyone needs to do it individually.

In this article, we'll outline how you can assign an action item to multiple people for both of these uses cases.

Note: If you have an action item already connected to an integration such as Asana, Linear, etc. it cannot be assigned to more than one person. Similarly, if an action item has multiple assignees it cannot be synced to another tool via one of our integrations.

Steps - Case 1: Assign to All

  1. Click on avatar at the end of the action item

  2. Turn on the Assign to multiple people toggle

  3. Click All

  4. Choose who you want to assign the action item to. Check off All note users or individually check off select users

  5. Once assigned to multiple people who all need to complete the task, the action item will appear like this in the note.

    1. As people complete the action item, the number will change to show how many of the people have completed the action item and how many are still outstanding.

Steps - Case 2: Assign to Any

*this option will need to be enabled by an admin in Workspace Settings. Learn more here.

  1. Click on avatar at the end of the action item

  2. Turn on the toggle Assign to multiple assignees

  3. Click Any

  4. Choose who you want to assign the action item to. Check off All note users or individually check off select users

  5. Once assigned the action item will look like this in the note (see the multiple avatars)
