The Note Taker is set to ask for permission to join your meeting to start recording and transcribing it. You will always have to accept the Note Taker as an attendee for it to start the recording process. If there's a problem with it joining your meeting, you'll be able to see an error message letting you know what went wrong.
Here are some examples of the most common errors:
Removed from the waiting room
If the Note Taker is denied entry as an attendee into your meeting, it will not be able to record your call. If you changed your mind and you want to add the Note Taker, you just need to manually invite it again by clicking 'record' and accepting it into your meeting.
2. Exceeded time in waiting room:
The Note Taker will stay for 5 minutes waiting to be let into the meeting. However, if this fails, it will leave the meeting, and you won't receive the recording or transcription for this event. If the 5 minutes have gone by and the Note Taker has already left, you just need to manually invite it again by clicking 'record' and accepting it into your meeting.
3. Invalid meeting link:
If there's no link on your calendar event, the Note Taker won't be able to join. You'll have to make sure that all your meetings have a valid Zoom, Teams, or Google Meet link so that the Note Taker joins your meeting as an attendee and starts recording.
4. Host recording permissions denied:
In order to make sure that you're accepting the Note Taker into your call and that it works properly, you might want to confirm that the permissions to allow the Note Taker to join your meeting are set up correctly. This will change depending on your call provider, but here are some things you can check to make sure everything is ready to go smoothly:
Using Zoom as your call provider:
Make sure that you have local recordings enabled on Zoom.
You'll also need to check that the meeting host is there to allow the Note Taker to record through the pop-up that will appear in the call.

Using Google Meet as your call provider:
If the host controls have been enabled on a Google Meet call and the host isn't in the call, the Note Taker won't be able to ask for permission to be admitted, and your meeting will not be recorded.
