Automatically notify meeting attendees that the meeting will be recorded

With a Recording disclosure policy, You can ensure transparency by notifying attendees ahead of time that a meeting is set to auto-record. When enabled, the recipients you select will receive an email 1 hour before a meeting is scheduled to start, giving a heads up that you plan to record.

There are a few ways to control who gets these emails.

Turn the Recording Disclosure Email On or Off

If you're an admin, you can visit your Workspace Settings > Note Taker & AI > Policies and enable or disable the email under "Recording disclosure policy". By default, the email is turned off, but you can easily toggle it on to notify attendees before every meeting.

  • When toggled On: The email will automatically send to the selected recipients 1 hour before each meeting.

  • When toggled Off: No email will be sent, even if meetings are being recorded.

You can also choose who will receive these emails by selecting either External, or External and Internal invitees without a Fellow account in the dropdown.

Allowing Non-Admin Users to Override the Setting

As an admin, you can decide whether non-admin users can turn the recording disclosure email on or off at the series level, by clicking the lock icon next to the Recording disclosure setting.

  • By locking the setting: Non-admin users will not have the ability to change the email setting. This gives you full control over who will receive disclosure emails.

  • By unlocking the setting: Non-admin users will be able to adjust the setting on a per-series basis. This will allow them the freedom to turn it off or on based on their attendees' preferences.

Turning Recording Disclosure on or off for a Series

If the Recording disclosure setting is not locked, you can control whether the disclosure email is sent for each of your meeting series. This allows for greater flexibility, especially for regular meetings where you may not want to send the disclosure email every time.

To do so, click on the lightning bolt icon in the upper right hand corner of a note. This will open Series Settings. There, you can toggle Recording Disclosure on or off. When on, the recipients of the email will be set according to your Workspace Settings, and indicated in text beside the toggle.
